Dear South Carleton HS parent/guardian,

School Council plays an important role in the life of SCHS. The Council is a forum for parents, students, staff and community members to learn more about the school.

For a full perspective of what we accomplish on a monthly basis, have a look at the minutes from past meetings. We are thrilled to have many parents who are new to the school jumping in and getting involved with School (Parent) Council.

All South Carleton parents and guardians are invited to attend. Only by working together can we ensure that the standard of education we want for our children, both at South Carleton HS and across the OCDSB, can be maintained....and even improved.

A message to parents from your Parent Council Vice-Chair regarding the 2020-21 school year:

Dear Parents;

We would like to notify you of our first Parent Council meeting of the year and election. It will be held on Tuesday October 20th 7:00pm via Google Meet. It will include Approval of the last meeting minutes, elections, the Principal’s Report, and Q&A. We encourage you to join us. The more connected our school community can be, the easier it will be to move through this year.

If you would like to attend, please fill in the following Sign-Up for School Council Google Form. After submitting the form, a link to the meeting will be sent to you approximately 15 minutes before the scheduled start.

About our Parent Council

The SCHS Parent Council is very informal. Our membership must be a minimum of 7 members for Quorum, from which a Chair (or Co-Chairs/Vice-Chair), Secretary, and OCASC representative are chosen by election or acclamation (Constitution). This year, the OCDSB has given us the direction that the membership should be comprised first of parents whose children are enrolled in-person as a priority and then by parents whose children attend a virtual school (OCV). Both parents/guardians of students attending the school in person and parents/guardians of students from the school who are attending the Ottawa-Carleton Virtual School (OCV) in 2020 are eligible for nomination. Any nomination for a parent of a student enrolled in an OCV school shall only be allowed where an insufficient number of parents of students attending in person have put their names forward for election. Once the council has been elected, any member shall be eligible for election or appointment to an executive position. Of course, we will welcome all parents, including those at OVC schools as non-voting members as our meetings are open. Election Procedure & School Council Checklist

We generally don’t participate in fundraising (or our fundraising is very limited) because we believe the focus should be on sharing information between the school and parents to serve the needs of our students. We do apply regularly for the Parent Reaching Out Grant. Our finances are managed through the school. Therefore we do not have either a fundraising rep or a treasurer. What do Parent Representatives do?

  • Participate in Council meetings and committees established by the Council;

  • Participate in information and training programs;

  • Act as a link between the School Council and the community;

  • Encourage the participation of the parents from all groups and of other people within the School community

What does the Chair/Co-Chairs do?

  • Call School Council meetings

  • Prepare the agenda for meetings in collaboration with the Principal

  • Chair School Council meetings

  • Ensure that minutes are recorded and maintained

  • Participates in information and training programs;

  • Communicates with the Principal on behalf of the Council

  • Ensures that there is regular communication with the School community;

  • Consults with senior board staff and trustees, as required;

  • Facilitate resolution of conflict

  • Provide an annual report of Council activities

What does a Vice-Chair do?

  • Presides at meetings of the Council in the absence of the Chair;

  • Assists the Chair in any of his/her other roles and responsibilities as may be delegated from time-to-time

What does the Secretary do?

  • Ensures that adequate notice of meetings, the agenda, and previous minutes are circulated to all members within prescribed time lines

  • Maintains a full and accurate account of all Council meetings, and ensures that the minutes are signed by the Chair following their adoption by the Council

  • Distributes the minutes and agenda to Council members prior to the meetings

  • Prepares correspondence and documents on behalf of the Council

  • Ensures agenda and minutes are posted to the school webpages

  • Ensures the safe-keeping of Council records

What does the OCASC Representative do?

  • Review the agenda for upcoming Regional School Council (OCASC) meetings and attend if determined to be relevant

  • Reports on OCASC meetings at the School Council meeting and provides summary to the Secretary for inclusion in the minutes
